HMGA Cancellation Policy for Food and Beverage

 

 

 

 

 

The HMGA has several events that include the optional purchase of food from The Hills Country Club.  This policy describes our cancellation policy for events that include food/beverage.

 

Background

 

Our Food and Beverage staff must start ordering food and scheduling staff several days before the event (at the event cutoff).  At that time, the HMGA contracts for Food and Beverage with our club for the number of participants who have signed up.  Food and Beverage will charge the HMGA for the number of participants contracted with them regardless of how many people cancel or don't show up. 

 

The HMGA cannot absorb the cost of food/beverage cancellations; therefore, the number of participants we have contracted for with Food and Beverage will not be reduced. 

 

Policy

 

If you have to cancel after the Food and Beverage event sign-up cutoff, you are not guaranteed that your account will not be charged.  

 

Conversely, if you want to be added after the Food and Beverage event sign-up cutoff, we may not guarantee that Food will be available for you.

There are times when HMGA members have to cancel after the cut-off and other members would like to be added to the event after cut-off.  If the number of members who cancel is equal to the number of members who add, then all is well with those cancelling being able to not be charged, and those who wish to be added can be added.  Please note, though, that those numbers are not always equal.   This decision will be based on who requests to be cancelled first, and who requests to be added first.  

 

Practice

 

Make every attempt to sign-up or cancel before the cutoff!   If circumstances change and you must cancel, please be sure to go to our HMGA portal and cancel your participation online immediately once you know your situation. If you are unable to add or cancel online prior to the cutoff, please contact an HMGA board member.
